The Coordinator will oversee all aspects of athletics and student activities—from scheduling and logistics to student participation and staff management—while ensuring programs are safe, well-run, and aligned with the school’s mission and expectations. This is a fast-paced, execution-heavy role that requires strong systems, attention to detail, and a relentless focus on student experience and accountability.

Key Responsibilities

Athletics Program Management

Student Activities & Engagement

  • Increase student participation in activities and ensure equitable access across grade levels
  • Plan and execute school events (e.g., spirit weeks, assemblies, showcases, competitions)
  • Track and analyze student engagement data to inform improvements

Staff & Coach Management

  • Oversee budgets, purchasing, and inventory for athletics and activities
  • Ensure compliance with league rules, school policies, and safety requirements
  • Coordinate supervision plans to ensure proper coverage at all events

Equipment & Inventory Management

  • Maintain accurate, up-to-date inventories of all athletic equipment, uniforms, and activity-related materials
  • Establish and enforce clear systems for equipment distribution, collection, and accountability (e.g., sign-out procedures, end-of-season returns)
  • Conduct regular audits to ensure all equipment is accounted for and in good condition
  • Coordinate the cleaning, repair, and replacement of equipment as needed
  • Manage uniform cycles, including sizing, ordering, and re-collection
  • Oversee storage spaces to ensure they are organized, secure, and accessible
  • Plan ahead to ensure all teams and activities have the necessary equipment well in advance of the season or event
  • Work with school leadership to develop and manage budgets for equipment and supplies

Student Accountability & Culture

  • Enforce eligibility requirements tied to attendance, academics, and behavior
  • Partner with school leaders to ensure extracurriculars reinforce a strong school culture
  • Use participation as a lever to improve attendance and student engagement

Key Competencies

  • Extreme Ownership: Takes full responsibility for the success and quality of all athletics and activities; proactively solves problems and ensures strong execution
  • Bias Toward Action: Moves quickly and decisively to plan, organize, and execute programs and events
  • Relentless Focus on Time: Maximizes efficiency in planning and execution; ensures all events start on time, run smoothly, and make effective use of limited time
  • Attention to Detail: Maintains strong systems and ensures nothing falls through the cracks
  • Coachability and Alignment: Seeks and implements feedback; executes school leadership decisions with fidelity and professionalism
  • Student-Centered Mindset: Prioritizes student experience, engagement, and development in all decisions
  • Strong Communication: Communicates clearly and proactively with students, staff, families, and external partners
